Welcome to TechSpring, the Baystate Health Technology Innovation Center. We’re glad to have you.

TechSpring House Rules:

How do I get online?

Answer:

To get on the TechSpring network:

SSID: TechSpring

Password: Innovate  (with a capital "I")

What are the house rules and code of conduct?

Answer:

All TechSpring member residents and visitors are subject to the TechSpring House Rules as documented here and updated from time to time. Baystate Health employees are subject to Baystate Health policies first and TechSpring House Rules second (i.e., if there is a conflict, Baystate Health policies prevail).

This is not a library: Let's communicate, chat, make calls etc.

This is not a railway station: Let's respect everyone else's concentration. Use headphones or phone booths for more "intensive" calls; greet your guests in the lobby so they don’t have to navigate themselves or interrupt others for directions; use your inside voice; collaborate and innovate, but be respectful.

Speaking of Respect: Bullying or harassment of any member of the TechSpring community or their guests will not be tolerated. If you notice someone else being subjected to such behavior or if you feel threatened or violated as a result of intimidating, bullying, harassing, abusive, discriminatory or derogatory conduct, please speak up and ask it to stop. If you don’t feel you can speak up, contact any TechSpring staff member, but probably start with the office manager.

Keep it private: Let's respect everyone else's privacy. Hand in documents or printouts that seem to have been forgotten on desks, the printer or in a conference room. Erase whiteboard scribblings if they appear to be confidential.

Keep it clean: Leave it as you found it. Handle everything (from furniture to dishes to human beings) with care. Leave your work area, kitchen and conference rooms as you found it - or preferably better!

Keep it trustful: Let's respect each other and our belongings. Always ask someone before moving their stuff, etc. Unoccupied things should stay safe until they are claimed by the owner.

Speaking of safety: Your access badge is personal. Never share or loan your card and never let anyone in outside of business hours. Notify TechSpring staff immediately if your card is misplaced or you witness any violations of our House Rules.

Our casa es su casa: Your business colleagues are welcome here. Just make sure they sign in every time they visit so it is clear who is here and with whom.

How do I reserve a conference room or phone booth?

Answer:

Conference Room Use

Our conference rooms offer members the opportunity to conduct meetings and conference calls in a private, professional setting. All conference rooms come equipped with a table, chairs, whiteboard, and often a flat screen monitor.

To use a conference room you must reserve it - either online or on the iPad on the door; even if you walk up to it and it is otherwise vacant.

TechSpring members or a TechSpring Business Group can use the conference rooms for up to 24 hours a month. If you need to use a conference room more than that, you are encouraged to speak to TechSpring staff about options.

Please do not use the conference rooms for your individual phone calls; instead use a phone booth or find a place to talk where you will not disturb others. This will allow the rooms to be available for larger meetings.

Conference rooms are freely available until 5:00pm.  To reserve a room after business hours, see Events and After Hour Meetings below.

 How to Reserve Rooms

To reserve a phone booth go to http://techspring.roomzilla.net/

You may reserve a conference room for immediate use by using the touch screen in front of each room. To make advance bookings go to http://techspring.roomzilla.net/.

Please fill out the purpose field with as much information as possible. This enables us to direct guests to the appropriate room. For example, the room might display the following:

"Company Name / Host Name / Presentation X"

It is possible to access TechSpring’s conference room reservation system from anywhere on the internet.

A couple of notes on using the system:

  • A "check-in" feature will ask you to "check in" to your meeting when you arrive at the room by pressing a button on the Roomzilla iPad outside the room. If you fail to "check in" an email reminder will be sent to you 15 minutes after the meeting start time.

  • If you finish using the room early, please press “End” on the screen to free up the room for another user.

  • The system will remind you of your meeting 1 hour beforehand.

  • Please cancel a reservation if you are not able to keep it.

  • If a conference room shows as available (green screen marked "available until _____" when you come up to it, you may reserve the room. If the room is occupied by someone who has not made a reservation, you may knock lightly on the door and alert them that you have made a reservation.

Important Note: Abandoned reservations may be deleted by TechSpring team members.

Event space is available for rental by the hour or by the day. Our space is perfect for speakers series, hackathons, or off-site meetings. If you are interested in reserving a space for an event please email a TechSpring host at hello@techspringhealth.org.

 Events and After Hour Meetings

Hosting more than ten guests at a time is considered an “event”

For members with 24/7 access, rooms are available until 8:00pm on business days. Outside of those hours, please email a TechSpring host at hello@techspringhealth.org

For events held outside of business hours, member host may be asked to provide a guest list to TechSpring staff who will share the list with building security staff.

What are the rules for kitchen use and general tidiness?

Answer:

Ah, The Kitchen: Where everybody gathers in a home, and we’re no different.  And just like at home, everyone needs to clean up after themselves.

Keyword:   self-service kitchen!

We do not have staff dedicated to kitchen duty, so please rinse your (and your guests’)  glassware/dishes and load ‘em into the dishwasher. If the dishwasher is full of clean dishes, please empty it and re-load OR hand wash your dishes and leave them in the rack to dry.     Always assume the dishes in the dish washer are dirty UNLESS there is a sign hanging that states "Dishwasher is in use"

There are glass markers in the tea/coffee tray area - write your name on your cup/glass so you can use the same cup throughout the day.

Please support our environmental efforts and avoid using paper plates, Styrofoam cups, etc. whenever possible.

Please try to recycle, too. If we all do our little part….

“Free the Fridge on Fridays” If you bring your own food, please label it with your name and date. Perishable food will be thrown away each Friday.

Coffee! Coffee! We love it. We need it. We hate it when the thermos is empty. If you take the last cup before noon, please make another pot so the next caffeine seeker can get their fix, too.     There are instructions on the drip coffee maker.

The cappuccino machine:  we all love her high-test caffeine treats.   There are a self-service instructions located on the glass above her - this will help you become a barista!   The notes show you how to make cappuccino, lattes, espresso, warm milk, coffee americano.   Other than those buttons, please leave the other buttons, dials and knobs alone.   If there are any messages, please let TechSpring staff resolve.

Feel free to use the catering equipment (pitchers for water, coffee, trays, etc.) for self-service in the conference rooms but please make sure all items are returned to their homes at the end of the day.

Or, let TechSpring staff set up your meeting services, send email to hello@techspringhealth.org for more information and a quote for set-up/clean-up.

What is the noise policy?

Answer:

Please be respectful of others and limit distractions and noises in the common workspace areas. Members are welcome to talk to one another, but keep your conversations at a low volume level. This policy also applies to short phone calls, however for lengthier phone conversations please find a different place to talk. Headsets are allowed, but keep them at a reasonable volume.

What is the safety and security policy?

Answer:

Dial 911 in emergency and/or call the security desk in our lobby at 413-733-8782.

There is a First Aid Kit and an AED Defibrillator in our mailroom.  The Defib is super easy to use - just open it up and it will verbally instruct you how to use, step-by-step.

Never, ever share your TechSpring access card and don’t allow tailgaters to follow you in.

Although we are constantly working to maintain a safe and comfortable work environment, Baystate cannot be held responsible if the belongings of members or guests go missing. Please do not leave your items unattended, lock the doors to your office space when you leave, and do not bring anyone who is not a member into our offices after our official hours of operation unless it is for an official event.

TechSpring uses video camera monitoring to secure our office space.

For members who would like to store their belongings in our offices overnight, we offer personal lockers for things like laptop stands, keyboards, etc. These lockers are rented on a month-to-month basis, if a member misses a monthly payment the lock securing their locker will be taken off and they will be asked to remove their belongings from the locker.

Please do not compromise the privacy and personal information of the TechSpring organization and its members. Any attempt to gain unauthorized access to TechSpring services, accounts or computer systems, along with those of its members, will lead to immediate dismissal.

As a member of TechSpring, you are also responsible for the security of your own data and devices; please ensure that you take the necessary precautions to secure any information that you wish to remain private and confidential.

We ask that all members use our workspace and facilities in a reasonable and respectful manner. Any actions that will damage or impair the use of these resources, endanger yourself and others, or violate any code of conduct in our guidelines will not be condoned and may result in the termination of an individual’s membership.

What is the guest policy?

Answer:

Members are encouraged to invite guests for meetings or conference calls. Please have your guest sign in when they first arrive.

TechSpring staff will greet your guests at the reception area and notify you of their arrival via your preferred method of contact (text, email, phone call).  It is the responsibility of the member resident to greet guests in the reception area. Member host must be present during their guest’s entire visit.

Members are welcome to meet with guests in either a reserved conference room or a private dedicated office, however please refrain from meeting with guests in the open workspace area; this may disturb others who are working and may compromise the confidentiality of your own private conversation.

All guests are expected to follow the same rules and guidelines which apply to registered members.

If hosting more than ten guests at a time, it is considered an event, and requires prior notification and arrangement with TechSpring host at hello@techspringhealth.org

What if I need 24/7 access?

Answer:

All TechSpring resident members have 24/7 privileges, here are a few things you should know:

Your Comfort: Office temperature is maintained by the building and is held between 67-74 degrees during business hours, but after hours can get chilly in the winter and hot ‘n stuffy in the summer. If you anticipate using the space after hours, send an email to TechSpring staff 48 hours prior. They can request HVAC service during the specified hours, but please know that increased demand for after hour HVAC services may result in additional fees.

Your Safety: Everyone, including tenants, entering the building outside of business hours is required to sign in at the lobby security desk; provide a photo ID; and be listed on our “24/7 List” kept at the security desk. If you expect visitors outside of business hours, provide their name and estimated time of arrival to the security desk in person or by calling 413-733-8782.

Please remember to sign out -- and remind your guests to sign out -- so security knows who is in the building.

Last one out:

If you’re the last one out, you’re probably working too hard. But since you’re here, please:

  • Check terraces for loose items & lock the terrace doors (or wind & rain will come in)

  • Close the interior glass door at reception area

  • Ensure front doors are locked as you leave

What's the deal with parking?

Answer:

Each resident member is entitled to a daily validation sticker each time they visit TechSpring for the Civic Center Garage and is included in membership as outlined in “Membership Levels” schedule.

Member residents may purchase daily and hourly validation stickers for their guests at a reduced rate from TechSpring staff (currently $5/day $1/hour).

For those members with a parking card, there is a $20 fee to replace a lost monthly parking card.
