What are the house rules and code of conduct?

Answer

All TechSpring member residents and visitors are subject to the TechSpring House Rules as documented here and updated periodically. Baystate Health employees are subject to Baystate Health policies first and TechSpring House Rules second (i.e., if there is a conflict, Baystate Health policies prevail).

This is not a library: Let's communicate, chat, make calls etc.

This is not a railway station: Let's respect everyone else's concentration. Use headphones or phone booths for more "intensive" calls; greet your guests in the lobby so they don’t have to navigate themselves or interrupt others for directions; use your inside voice; collaborate and innovate, but be respectful.

Speaking of respect: Bullying or harassment of any member of the TechSpring community or their guests will not be tolerated. 

Keep it private: Let's respect everyone else's privacy. Hand in documents or printouts that seem to have been forgotten on desks, the printer or in a conference room. 

Keep it clean: Leave it as you found it. Handle everything (from furniture to dishes to human beings) with care. Leave your work area, kitchen and conference rooms as you found it - or preferably better!

Keep it trustful: Let's respect each other and our belongings. Always ask someone before moving their stuff, etc. Unoccupied things should stay safe until they are claimed by the owner.

Speaking of safety: Your access badge is personal. Never share or loan your card to others. Notify TechSpring staff immediately if your card is misplaced.  

Our casa es su casa: Your business colleagues are welcome here. Just make sure they sign in at the reception desk when they visit. 

 

How do I reserve a conference room or phone booth?

Conference Room Use

Our conference rooms offer members the opportunity to conduct meetings in a private, professional setting. All conference rooms come equipped with a table, chairs, whiteboards, and often a flat screen monitor.

To use a conference room you must reserve it by visiting https://techspring.roomzilla.net/.  The two large flex space areas, aka: the "Living Room" and "Study Hall" must be reserved through the Innovation Host.  

TechSpring members can use private conference rooms for up to 24 hours a month. If you need to use a conference room more than that, please discuss private office rentals with the Innovation Host.

Please do not use the conference rooms for your individual phone calls!   Instead use a phone booth or find a place to talk where you will not disturb others. This will allow the rooms to be available for larger meetings.

Conference rooms are available until 5:00pm.  To reserve a room after business hours, see "Events and After Hour Meetings" below. 

 How to Reserve Rooms

You may reserve a conference room for immediate use by using the touch screen in front of each room. To make advance bookings go to http://techspring.roomzilla.net/.

Please fill out the purpose field with as much information as possible. This enables us to direct your guests to the appropriate room. 

Important Note: Abandoned reservations may be deleted by TechSpring team members.

Event space is available for rental by the hour, half day, full day, evenings and weekends. Our space is perfect for speakers series, hackathons, or off-site meeting, trainings and retreats. If you are interested in reserving our space for an event please email the Innovation Host at [email protected].

 Events and After Hour Meetings

Hosting more than ten guests at a time is considered an “event”.   If you have an event planned with ten or more guests, please communicate with the Innovation Host. 

Resident members have access to the our space 24/7 but the same 'ten or more" rule applies.  If you plan to have any type of gathering/meeting/event in the evening, please communicate directly with the Innovation Host. 

 

 

What are the rules for kitchen use and general tidiness?

Answer

Ah, The Kitchen: Where everybody gathers in a home, and we’re no different.  And just like at home, everyone needs to clean up after themselves.       

Keywords:   Self-Service Kitchen!  

We do not have staff dedicated to kitchen duty, so please rinse your (and your guests’)  glassware/dishes and load ‘em into the dishwasher unless the sign indicates that the machine is running.  

There are glass markers in the tea/coffee tray area - write your name on your cup/glass so you can use the same cup throughout the day.   Please support our environmental efforts and avoid using paper plates, Styrofoam cups, etc. whenever possible.   

“Free the Fridge on Fridays” If you bring your own food, please label it with your name and date. Perishable food will be thrown away each Friday.

Coffee! Coffee! We love it. We need it. We hate it when the thermos is empty. If you take the last cup, please make another pot so the next caffeine seeker can get their fix, too.    Our machine is a bit tricky but our Innovation Host will be happy to show you how to be self-sufficient.  

The cappuccino machine:  high-test caffeine drinks at their best!   There are a self-service instructions located on the glass above her - this will help you become a barista!   The notes show you how to make cappuccino, lattes, espresso, warm milk, coffee americano.   Other than those buttons, please leave the other buttons, dials and knobs alone.   If there are any messages or error warnings, please bring this to the attention of our Innovation Host.      

Feel free to use the catering equipment (pitchers for water, coffee, trays, etc.) for self-service in the conference rooms but please make sure all items are returned to their homes at the end of the day.

If desired, the TechSpring staff can plan and set up your meeting beverage and coffee services; send email to [email protected] for more information and a quote for set-up/clean-up.    (See above:  Events!) 

 

What is the noise policy?

Answer

Please be respectful of others and limit distractions and noises in the common workspace areas. Members are welcome to talk to one another, but keep your conversations at a low volume level.  Use your indoor voices! 

 

What is the safety and security policy?

Answer

Dial 911 in emergency and/or call the security desk in our lobby at 413-733-8782.

There is a First Aid Kit and an AED Defibrillator in our mailroom.  The Defib is super easy to use - just open it up and it will verbally instruct you how to use, step-by-step. 

TechSpring uses video camera monitoring to secure our office space.

For members who would like to store their belongings in our offices overnight, we offer personal lockers for things like laptop stands, keyboards, etc. 

Although we are constantly working to maintain a safe and comfortable work environment, Baystate cannot be held responsible if the belongings of members or guests go missing. Please do not leave your items unattended, lock the doors to your office space when you leave, and do not bring anyone who is not a member into our offices after our official hours of operation unless it is for an official event.

 Please do not compromise the privacy and personal information of the TechSpring organization and its members. Any attempt to gain unauthorized access to TechSpring services, accounts or computer systems, along with those of its members, will lead to immediate dismissal.

As a member of TechSpring, you are also responsible for the security of your own data and devices; please ensure that you take the necessary precautions to secure any information that you wish to remain private and confidential.

We ask that all members use our workspace and facilities in a reasonable and respectful manner. Any actions that will damage or impair the use of these resources, endanger yourself and others, or violate any code of conduct in our guidelines will not be condoned and may result in the termination of an individual’s membership.

What is the guest policy?

Members are encouraged to invite guests for meetings. Please have your guest sign in at the reception desk upon arrival. 

TechSpring staff will greet your guests at the reception area and notify you of their arrival.  Resident Member must be present during their guest’s entire visit.

All guests are expected to follow the same rules and guidelines which apply to registered members.

Remember!  If you are hosting more than ten guests, it is considered an event, and requires prior notification and arrangement with TechSpring's Innovation Host at [email protected]

 

Can I receive mail and packages at TechSpring?

Members are able to receive and send mail at our office. To receive mail at TechSpring, list your mailing address as

It is must include "c/o TechSpring" as well as "Suite 500" in your address to ensure prompt mail service.    

 

Mail will be placed in your mailbox in our business center (a fancy name for our copier and office supply room).   

The TechSpring Host can accept and sign for packages and deliveries for resident members.  If you receive a package, it will be left on the counter of the business center.  

 

 

 

 

What are the terms of my membership?

Answer

With our memberships there are no long-term leases or commitments, members pay on a month-to-month basis. All payments are due the 7th of the month payable .  Invoices will be sent through a secure payment site called "Bill & Pay".  Payment by check is also acceptable.    Memberships may not be shared; one membership per person.

Payment Schedule 

·      Membership fees are billed the first of each month

·      Membership payment is due by the 7th of the month

·      First month is pro-rated:

·      Join 1st-7th full amount; 8th-14th 75%; 15th -21st 50%; 22nd to end of month 25%

·      Cancellation 30 prior to cancellation date (ex. if termination notice delivered Jan 15th, member still pays for all of Feb)

* Membership may be cancelled by TechSpring if payment is not received by the end of the month. 

 

Try not to lose your card

If your TechSpring access card is lost or stolen, notify TechSpring's Innovation Host immediately as this is a safety concern. There is a  $10 fee for replacement ID cards.     Access cards are not always available on the same day; it may take TechSpring staff up to 48 hours to produce. 

 

What are the plans and prices for memberships?

Come try a day for free; it’ll mean a lot more than anything we show or tell you.

We offer day rates, monthly rates, team rates & private office rentals.

Monthly Memberships are $300

Daily flex space use is $30  

Please discuss your options with our Innovation Host; they can help you decide which plan is best for you. 

 

What are the add on services for my membership?

Answer

We try to keep things simple -   Your monthly memberships gets you a lot:   24/7 access, up to 24 hours of private conference rooms space/month, snacks, coffee, wi-fi, secure space, a great community, business center with mail and printing options. 

The add-on's:   

  • Replacement TechSpring badge or key for individual portable file cabinet key: $10
  • Any meeting that is considered an event (10 or more people) may incur additional charges
  • Others services available by request/add-on include but are not limited to: meeting facilitation, administrative services, catering, beverage services in meeting rooms 

 

 

How do I pay TechSpring?

Answer

Once you are established as a Resident Member, you will receive an invoice from "[email protected]" through a secure payment site called "Bill & Pay" or "[email protected]"  

This will allow you to create an account, log in to pay  -or auto pay - your invoice each month.  

 

If you prefer, you can mail or hand-deliver a check made out to “TechSpring” to:

FYI - TechSpring is part of Baystate and classified as a 501(c)3 organization.

How can I print?

Answer

We have a robust multifunction device (that is somewhat intimidating) for color printing, scanning, emailing and copying.

There may be an additional charge for large jobs (> 50 copies in one day).

There are instructions posted on the wall of the copy room to assist you in printing.    If you have difficulties, please see the Innovation Host for assistance.  

 

 

Are the restrooms locked?

Answer

There are two restrooms in the lobby near the elevator which are normally kept unlocked during business hours. If locked, they can be opened via any member resident access card or either of the two guest bathroom passes available in the reception area.  They are locked after 8pm and on weekends and you will require your access badge.  

 

What are the business hours and holiday schedule?

Answer

Our space and services are available Monday-Friday between 8:00a and 5:00p except for the following Holidays:

New Year’s Day

Memorial Day

Columbus Day

M Luther King Birthday

Independence Day

Thanksgiving

Presidents’ Day

Labor Day

Christmas Day

Holidays that occur on Saturday are observed the previous Friday. Holidays that occur on Sunday are observed the following Monday.

 

What if I need 24/7 access?

Answer

All TechSpring resident members have 24/7 privileges, but here are a few things you should know:

Your Comfort: Office temperature is maintained by the building and is held between 67-74 degrees during business hours.  The HVAC does shut off at 6pm and on the weekends.  If you are here doing those hours, please be prepared for higher or lower temperatures but nothing outrageous.   

Your Safety: Everyone, including resident members, entering the building outside of business hours is required to sign in at the lobby security desk; provide a photo ID; and be listed on our “24/7 List” kept at the security desk. If you expect visitors outside of business hours, provide their name and estimated time of arrival to the security desk in person or by calling 413-733-8782. Please remember to sign out -- and remind your guests to sign out -- so security knows who is in the building

What's the deal with parking?

Parking - so many options! 

 

MGM Springfield Parking: FREE parking is available 2 blocks away at the MGM Casino. The entrance address is 1620 E. Columbus Ave, Springfield, MA Once parked, exit the casino onto Main Street, take a left and walk 2 short blocks to the Court Side entrance of ‘One Financial Plaza’

Street Parking: Parking is available on the street in the vicinity of 1350 Main Street. Metered parking is free after 6pm and on weekends

Additional Parking Options and Rates:

Valet Parking: Available for "One Financial Plaza" at the corner of Court Street and City Hall Place (the backside of "One Financial Plaza" building). Use a GPS address of 36 Court Street to access.  Rates as of May 15, 2019: $4 for the first hour, $2 for each additional hour, maximum charge of $20 per day.

ProPark: Located at 22 Bruce Landon Way, Springfield, MA. This is the closest lot. Rates as of May 15, 2019: Hourly rates are not available; daily rate is $10/day.

Springfield Parking Authority Civic Center Parking Garage: Located on Harrison Ave/Bruce Landon Way. Use a GPS address of 41 Harrison Ave to access. Rates as of May 15, 2019: $1.50 for the first hour, $2 for each additional hour.

Springfield Parking Authority I-91 South Garage: Located at 1620 E. Columbus Ave, Springfield MA. Rates as of May 15, 2019: $1.50 for the first hour, $2 for each additional hour.

All members, employees and their guests are expected and required to abide by this policy. No person will be adversely affected in employment or membership with TechSpring as a result of bringing complaints of unlawful harassment.

Use of TechSpring Services

You agree that when participating in or using the Services, you will not:

  • Use the Services in connection with contests, pyramid schemes, chain letters, junk email, spamming or any duplicative or unsolicited messages (commercial or otherwise);

  • Defame, abuse, harass, stalk, threaten or otherwise violate the legal rights (such as rights of privacy and publicity) of others;

  • Publish, post, upload, distribute or disseminate any inappropriate, profane, defamatory, obscene, indecent or unlawful topic, name, material or information;

  • Upload, or otherwise make available, files that contain images, photographs, software or other material protected by intellectual property laws, including, by way of example, and not as limitation, copyright or trademark laws (or by rights of privacy or publicity) unless you own or control the rights thereto or have received all necessary consent to do the same;

  • Use any material or information, including images or photographs, which are made available through the Services in any manner that infringes any copyright, trademark, patent, trade secret, or other proprietary right of any party;

  • Upload files that contain viruses, Trojan Horses, worms, time bombs, cancelbots, corrupted files, or any other similar software or programs that may damage the operation of another’s computer or property of another;

  • Download any file(s) that you know, or reasonably should know, cannot be legally reproduced, displayed, performed, and/or distributed in such manner;

  • Restrict or inhibit any other user from using and enjoying the Services;

  • Violate any code of conduct of other guidelines which may be applicable for any particular Service (including the rules of building, town, city and state where TechSpring is located);

  • Harvest or otherwise collect information about others, including email addresses, without the authorization or consent of the disclosing party;

  • Violate any applicable laws or regulations or create a false identity for the purpose of misleading others; or

  • Utilize Services in any way that interferes with others enjoying and gaining benefits from Services.

Disclosure of Your Information

Your name, email address, brief bio, image and/or logo will be published on the TechSpring intranet. In addition, TechSpring reserves the right at all times to disclose any information about you, your participation in and use of our services as TechSpring deems necessary to satisfy any applicable law, regulation, legal process or governmental request. TechSpring reserves the right at all times to edit, refuse to post, refuse to display, or to remove any information or materials in whole or in part.

 

Confidentiality

  1. You acknowledge and agree that during your participation in and use of the Services you may exposed to Confidential Information. “Confidential Information” shall mean all information, in whole or in part, that is disclosed by TechSpring or any participant or any member or user of the Services or any employee, affiliate, or agent thereof, that is nonpublic, confidential or proprietary in nature.

  2. Confidential Information also includes, without limitation, information about business, sales, operations, know-how, trade secrets, technology, products, employees, customers, marketing plans, financial information, services, business affairs, any knowledge gained through examination or observation of or access to the facilities, computer systems and/or books and records of TechSpring, any analyses, compilations, studies or other documents prepared by TechSpring or otherwise derived in any manner from the Confidential Information and any information that you are obligated to keep confidential or know or has reason to know should be treated as confidential.

  3. Your participation in and/or use of the Services obligates you to:

    1. maintain all Confidential Information in strict confidence;

    2. not to disclose Confidential Information to any third parties;

    3. not to use the Confidential Information in any way directly or indirectly detrimental to TechSpring or any participant or user of the Services.

  4. All Confidential Information remains the sole and exclusive property of TechSpring or the respective disclosing party. You acknowledge and agree that nothing in this agreement or your participation or use of the Services will be construed as granting any rights to you, by license or otherwise, in or to any Confidential Information or any patent, copyright or other intellectual property or proprietary rights of TechSpring or any participant or user of the Services.

  5. You agree that your obligations under this agreement regarding confidential information will continue after the termination of your affiliation with TechSpring.

  6. You understand that confidential information includes any information that may have been transmitted verbally to you by the disclosing party intentionally or unintentionally.
